Job Description

The role of the Facilities Coordinator is to liaise with all departments to ensure maintenance & operations across multiple sites.  Your role will be both challenging and varied and see you overseeing and coordinating external transport, cleaning, grounds, event and trade providers. 

As the Facilities Coordinator your responsibilities will include: 
  • Assist the Property Services Team in preparing business analysis and reviews such as Business Cases, Building Asset Audits and Assessments, Maintenance Budgeting and Forecasts
  • Identify areas of non-compliance and consider rectification, replacement or upgrade to achieve the best outcome, attend and regularly participate in departmental operational meetings and external contractor meetings
  • Transport management - scheduling and booking of vehicles
  • Managing transport events and outlook calendar 
  • Procurement of vehicles as required
  • Coordinating associated contractors and outsourced staff 
  • Managing all aspects of events within the facility including function centers
  • Liaise with service providers to ensure timely actioning and completion of all requests or services
  • Internal and external stakeholder management 
  • Liaise with cleaning service and grounds providers to ensure high quality, consistency and optimal efficiency
  • Liaise with Property Services Manager and key stakeholders to ensure works can be carried out efficiently and efficiently to minimise disruption
  • Monitor contractor performance to ensure works are carried out to expectation minimising impact to school operations
  • Consistently follow up all completed works to ensure contracted works has been completed to a high standard, compliant and operational readiness for school activities.
  • Ensure WHS, Inductions and SWMS processes are maintained and kept
To be successful in the role of Facilities Coordinator ideally you will have experience in the following:
  • Prior experience in a similar role
  • Relevant tertiary qualifications
  • Previous experience using a CMMS
  • Proficient in MS Office, with ADVANCED knowledge of Excel.
  • Working knowledge of Google Docs.
  • Previous experience managing a team
  • The ability to comprehend and address/solve, unstructured problems quickly and efficiently
  • Drivers Licence
