Project Administrator

The Opportunity:
An established construction company with a strong pipeline of projects across Western Sydney is looking for an experienced Project Administrator to join their team.
This is a great opportunity for a Project Administrator, Project Coordinator or experienced Site Administrator looking to take the next step in their career and play an important role in supporting the successful delivery of construction projects.
Working closely with Project Managers, site teams, subcontractors and suppliers, you will provide key administrative and coordination support throughout the project lifecycle.
Key Responsibilities:
- Provide day-to-day administrative support to Project Managers and project teams
- Assist with the coordination and administration of construction projects
- Maintain project documentation, registers and filing systems
- Manage project correspondence and distribute documentation to relevant stakeholders
- Assist with purchase orders, invoices, procurement and supplier administration
- Coordinate subcontractor and supplier documentation
- Assist with contractor onboarding, inductions and compliance requirements
- Maintain project trackers, schedules and reporting
- Assist with variations, progress claims and project cost documentation
- Prepare and maintain spreadsheets and project reports
- Coordinate meetings, minutes and follow-up actions
- Assist with timesheets, labour records and resource tracking
- Liaise with subcontractors, suppliers, clients and internal stakeholders
- Ensure project documentation is accurate, current and compliant
- Provide general support to the Project Manager and wider project team
We’re looking for someone who is organised, proactive and confident working in a fast-paced construction environment.
You will ideally have:
- Previous experience in Project Administration, Site Administration or Project Coordination
- Experience within the construction, engineering, civil or infrastructure sectors
- Strong administration and organisational skills with excellent attention to detail
- Experience dealing with subcontractors, suppliers and project teams
- Good understanding of procurement, invoices, purchase orders and project documentation
- Strong Microsoft Office skills, particularly Excel and Outlook
- Experience with construction/project management systems such as Aconex, Procore, Jobpac or similar would be advantageous
- Excellent communication skills and the confidence to liaise with stakeholders at all levels
- Ability to manage multiple priorities and work to deadlines
- A proactive attitude and willingness to support the wider project team
